Fees & Cancellation Policy

Purpose

Happy Hatching Mind aims to provide accessible and affordable counselling, hypnotherapy, clinical supervision, family support and wellbeing courses while ensuring that fees appropriately reflect the practitioner’s training, experience, preparation and professional responsibilities.

I recognise that deciding to spend money on counselling or wellbeing support can be difficult, particularly where financial circumstances are a consideration. I aim to balance the costs of providing a professional service with my wish to keep sessions as accessible as reasonably possible.

Seeking therapeutic support is a personal decision and may represent an important investment in a person’s wellbeing and development.

Review of Fees

Fees are reviewed annually, with any changes normally taking effect from 1st January.

Where an existing client is paying the full advertised fee and has a signed agreement with Happy Hatching Mind, their fee will not normally be increased during their first 12 months of working with me.

Where therapeutic work continues beyond 12 months, I reserve the right to review and increase the session fee from the second 1 January onwards.

Any changes to fees will be communicated to clients in advance.

Payment Methods

Payments may be made by:

• Contactless payment

• Chip and PIN

• Bank transfer

• Cash

Payment arrangements will be agreed with the client before or at the beginning of the therapeutic relationship.

Counselling and Hypnotherapy

All counselling and hypnotherapy arrangements begin with an initial session costing £25, regardless of the medium used. The initial session is a full therapeutic session rather than a shortened assessment appointment.

Following the initial session, standard fees are £50 for a 50-minute session

This applies to:

• In-person / face-to-face counselling

• Therapeutic walking

• Video sessions

• Telephone sessions

• Counselling for children and young people

• Hypnotherapy

For clients under 13, the session will include five minutes at the end for a brief discussion with the parent or carer, where appropriate and agreed as part of the therapeutic arrangement.

Alternative Online Counselling

£40 for a 50-minute session

This applies to:

• Email counselling — up to 1,500 words per email, equivalent to approximately 50 minutes of practitioner time. Payment is required before the response is provided.

• Instant messaging counselling

The nature, limitations and practical arrangements for these forms of counselling will be discussed before the service begins.

Clinical Supervision

I recommend that clinical supervision is undertaken fortnightly for 45 minutes per session, providing approximately 1.5 hours of supervision per calendar month.

Where preferred, supervision may instead be arranged as one 1.5-hour session each month, subject to discussion and suitability.

Clinical supervision may be provided through the available agreed session mediums.

Fees are:

• £30 per 45-minute session

• £60 per 1.5-hour session

Supervisees remain responsible for ensuring that their supervision arrangements meet the requirements of their professional body, employer, placement or other relevant organisation.

Family Sessions

Family work is normally structured over a number of sessions to allow for both whole-family and individual work.

A typical arrangement may include:

• Two sessions with the whole family

• Individual sessions for each family member

• Two further sessions with the whole family

The structure will be discussed and agreed according to the needs of the family.

The total cost will depend on the number of family members involved and the number and type of sessions required. A proposed fee structure will be discussed before family work begins.

Calmer Karma – Managing Anxiety Course

The Calmer Karma course consists of:

• 10 × 1.5-hour sessions

• Workbook

• Three MP3 resources

The course is delivered as a group course with a maximum of 10 attendees.

Fees are:

• £15 per session (PAYG)

• £130 when paying in full for the complete course

Happy Hatching – Hypnobirthing Course

The Happy Hatching hypnobirthing course consists of:

• Four × 1.5-hour sessions

• Workbook

• Five MP3 relaxation resources

• Goody bag

The course fee is:

£250 per expectant mother, including up to two birth partners.

Weigh To Go – Weight Management Course

The Weigh To Go course consists of:

• 10 × 1.5-hour sessions

• Workbook

• Three MP3 resources

The course is delivered as a group course with a maximum of 10 attendees.

Fees are:

• £15 per session (PAYG)

• £120 when paying in full for the complete course

Cancellation and Rescheduling

Clients may cancel or reschedule an appointment by providing at least 24 hours’ notice before the scheduled appointment time.

Appointments cancelled with less than 24 hours’ notice, or appointments missed without notice, may be charged at the full session fee.

Exceptional circumstances will be considered on an individual basis and discretion may be exercised where appropriate.

If Happy Hatching Mind needs to cancel or reschedule an appointment, as much notice as reasonably possible will be provided and an alternative appointment will be offered where appropriate.

By booking an appointment, clients acknowledge and agree to the cancellation and rescheduling arrangements outlined in this policy.

Review

This policy will be reviewed regularly alongside the annual review of fees and whenever there are significant changes to services, operating costs, legislation or professional requirements.
